These regulations outline how appointments, payments, cancellations, and special situations are handled at Luxdentica Dental Clinic. Please review them carefully before booking your visit.

Booking Appointments

How to Book an Appointment

Patients may book an appointment using any of the following methods:

• Online booking via our website

• Email contact

• Chat with our clinic receptionist

• Phone call

• In-person visit to the clinic

Available appointment formats:

• In-person visits

• Online consultations (audio + video)

• Telephone consultations (audio only)

Availability depends on the selected service and schedule.

Rescheduling & Cancellations

Rescheduling or Cancelling an Appointment

• Appointments can be rescheduled free of charge up to 24 hours before the scheduled time.

• Cancellations or changes made less than 24 hours before the visit, or failure to attend the appointment, will result in an absence fee.

Changes can be made via:

• Email

• Chat with the receptionist

• Phone

• In person at the clinic

Absence Fees

When an Absence Fee Applies

If a patient:

• Does not attend an appointment, or

• Cancels or reschedules less than 24 hours before the visit

a non-refundable absence fee will be charged.

Absence Fees (valid from 01/07/2025):

• • Oral hygiene & preventive treatments — 200 PLN

  • Dental procedures — 200 PLN

Reservation Fees for Planned Procedures

For planned and time-reserved treatments, a reservation fee is required.

Treatments Requiring a Reservation Fee

• Implantological procedures

• Prosthetic procedures

• Surgical procedures

• Endodontic treatment

If the patient does not attend the appointment or cancels less than 24 hours in advance, the reservation fee is not refundable.

Reservation Fees (valid from 01/07/2025):

• Implantological procedures — 500 PLN

• Prosthetic procedures — 500 PLN

Payments Payment Rules

• In-person visits:
  Payment is made immediately after the appointment at the reception desk.

• Online & telephone visits:
  Payment must be completed no later than 24 hours before the scheduled appointment.
  Failure to pay will result in automatic cancellation.

Same-Day Appointments

For appointments booked on the same day, attendance must be confirmed by 10:00 AM.

Lack of confirmation may result in cancellation of the appointment.
